Job Applicant Privacy Notice

Keeney's Office Supply ("Keeney's," "we," "us," or "our") is committed to protecting the privacy of individuals who apply for employment with us. This Job Applicant Privacy Notice explains what personal information we collect from applicants, how we use and protect it, and your rights under Washington State law. This Notice applies to all job applicants for positions at Keeney's Office Supply regardless of the method of application (in-person, online, email, or through a staffing agency).

We may collect the following categories of personal information from or about you during the application and hiring process: 

 Identifying Information 

  • Full name, address, email address, and phone number 
  • Social Security Number (collected only when required for background check authorization or tax documentation) 
  • Driver’s license or state ID number (where relevant to job duties) 

Employment & Education History 

  • Prior employers, job titles, dates of employment, and reasons for leaving 
  • Educational institutions, degrees, certifications, and licenses 
  • Professional references and their contact information 

Background Check Information 

  • Criminal history (subject to Washington Fair Chance Act restrictions — see Section 4) 
  • Consumer credit report information (only when directly job-related and permitted by law — see Section 5) 
  • Driving record (only where driving is a core job function) 

Health & Medical Information (Limited) 

  • Post-conditional-offer medical examination results, if applicable to the role 
  • Drug/alcohol test results, where permitted and applicable 
  • Accommodation requests under the ADA or Washington Law Against Discrimination 

Voluntary Demographic Information 

  • Race, ethnicity, gender, veteran status, and disability status — collected separately and voluntarily for EEO/affirmative action reporting only; this information does not influence hiring decisions 

Keeney’s Office Supply uses applicant information solely for lawful, job-related purposes, including: 

  • Evaluating your qualifications, skills, and suitability for open positions 
  • Conducting background, reference, and credential verification checks 
  • Communicating with you about your application status 
  • Complying with federal and Washington State legal obligations (immigration, equal opportunity, recordkeeping) 
  • Protecting the safety and security of our employees, customers, and business operations 
  • Defending or pursuing legal claims if necessary 

In compliance with the Washington Consumer Credit Reporting Act (RCW Ch. 19.182) and the federal Fair Credit Reporting Act (FCRA): 

  • We will obtain your written authorization before requesting a consumer background report from a reporting agency. 
  • If we intend to take adverse action (e.g., withdraw a conditional offer) based in whole or in part on information in a background report, we will provide you with: (1) a copy of the report, (2) a summary of your rights under the FCRA, and (3) a reasonable opportunity to dispute inaccurate information before a final decision is made. 

Keeney’s Office Supply complies fully with the Washington Fair Chance Act (WFCA) and its 2025/2026 amendments: 

  • We do not inquire about, consider, or obtain criminal history information at any point before we have determined you are otherwise qualified for the position AND have extended a conditional offer of employment. 
  • We do not maintain any policy that automatically or categorically disqualifies applicants based on a criminal record. 
  • “Criminal record” under the WFCA includes records of arrest or citation as well as information about an arrest or citation, regardless of conviction. 
  • Any individual applicant screening based on criminal history will be conducted on an individualized basis, considering factors such as the nature of the offense, the time elapsed, and the nature of the job. 

Washington law (RCW 19.182.020) restricts employer use of credit information. Keeney’s Office Supply will only conduct a credit check when: 

  • The position is one for which credit history is substantially job-related (e.g., positions handling cash, financial accounts, or high-value inventory), OR 
  • A credit check is required by law for the specific position. 

When a credit check is required, we will provide you with advance written notice and, if adverse action is taken, provide you with a copy of the report and an opportunity to respond.

In compliance with RCW 49.44.200: 

  • We will not request or require access to your personal social media account credentials (usernames, passwords, or private content). 
  • We will not require you to add us as a friend or follower on any personal social media platform as a condition of employment consideration. 
  • We may review publicly available information on the internet as part of our evaluation process. 

If you are hired, please be advised that Keeney’s Office Supply monitors company-owned electronic systems, devices, and communications in accordance with Washington law (RCW 9.73.070). Written notice of any such monitoring will be provided at the time of hire. 

To the extent Keeney’s Office Supply collects any consumer health data in connection with your application (e.g., through post-offer medical screens or accommodation requests), we comply with the Washington My Health My Data Act (MHMDA), effective March 31, 2024. Such data is: 

  • Collected only for lawful, employment-related purposes 
  • Maintained separately from your general application file 
  • Not sold or shared for commercial purposes

We retain applicant records in accordance with applicable federal and Washington State recordkeeping requirements. Generally: 

  • Application materials for applicants not hired are retained for a minimum of one (1) year from the date of the employment decision. 
  • Records related to background checks and consumer reports are retained in accordance with FCRA requirements. 
  • Records are securely disposed of when retention periods expire. 

Keeney’s Office Supply takes reasonable administrative, technical, and physical measures to protect applicant personal information from unauthorized access, disclosure, alteration, or destruction. In the event of a data breach affecting your personal information, we will notify you as required by Washington’s data breach notification law (RCW 19.255.010). 

Under Washington law, you have the right to: 

  • Know what personal information we collect about you and for what purpose 
  • Request access to or a copy of information we maintain about you 
  • Dispute inaccurate information in consumer reports used in our hiring process 
  • Receive required notices before we take adverse action based on background or credit reports 
  • Not be asked about criminal history until you have received a conditional offer of employment 
  • Not be required to disclose social media account credentials 

We may share your personal information with trusted third-party vendors who assist in the hiring process (e.g., background check providers, applicant tracking software vendors, staffing agencies). These vendors are contractually required to use your information only for the services they provide to us and to maintain appropriate security protections. 

We do not sell applicants’ personal information to third parties.
